Supplier Accreditation and Trusted Store Standards – Kush One Platform

Article 1: Scope of the Standards
These Standards govern accreditation of suppliers, Sellers, and Service Providers, and the grant of verification and trust badges to stores operating on the Kush One platform.
They form an integral supplement to the Seller and Service Provider Agreement and the seller, KYC, and prohibited and restricted products policies.
Article 2: Objectives of Accreditation
The accreditation system aims to:
- Verify identity and legal capacity.
- Strengthen reliability of suppliers and stores.
- Reduce counterfeit and untraceable products.
- Raise the quality of offers and services.
- Protect Buyers and reduce disputes.
- Encourage compliance with warranty and after-sales services.
- Distinguish stores with reliable performance.
Article 3: Nature of Accreditation
Accreditation is an internal assessment granted by the Platform based on available information, documents, and performance.
It is not a government license, an absolute product guarantee, a financial surety, or an undertaking by the Platform that the Seller will perform all of its commitments.
The supplier remains responsible for the lawfulness of its activity and products, the accuracy of its data, and its obligations toward Buyers.
Article 4: Accreditation Levels
The Platform adopts the following levels:
1. Registered Supplier
Granted after completing basic registration and verifying contact details and initial identity.
This status does not mean completion of full legal or technical verification.
2. Verified Supplier
Granted after verification of legal registration, authorized representative, bank account, and basic licenses.
3. Trusted Store
Granted after fulfilling legal, technical, and operational verification, achieving an approved performance level, and having no material violations.
4. Sector-Accredited Supplier
May be granted to qualified suppliers in regulated or technical sectors after verification of licenses, certificates, experience, and ability to provide warranty and after-sales services.
Article 5: Basic Acceptance Conditions
Accreditation of a supplier or store requires:
- A legal entity or registered activity, where registration is required.
- Submission of accurate and complete data.
- Identification of the authorized representative and beneficial owner.
- Possession of an approved bank account or collection method.
- Lawfulness of the activity, products, and services.
- Submission of required sector licenses.
- Compliance with Platform policies.
- Absence of a ban or material violation preventing dealing.
Article 6: Legal Documents
The Platform may request:
- Company or business-name registration certificate.
- Articles or certificate of incorporation.
- Commercial or tax number.
- Business activity license.
- Proof of facility address.
- Identity of the authorized representative.
- Authorization resolution or letter.
- Shareholder and beneficial-owner details.
- Agency or distribution certificates.
- Any additional document required by the nature of the activity.
Documents must be valid and verifiable.
Article 7: Banking and Financial Verification
Payout of amounts due requires:
- An approved bank account or collection method.
- Matching of the account name with the supplier or its establishment.
- Documentation of any authorization to collect into a third-party account.
- Disclosure of financial information required by compliance procedures.
- Passing fraud and AML screening.
Banking verification is not evidence of financial solvency or a guarantee of performance.
Article 8: Sector Licenses
The supplier must submit licenses and approvals related to its classification, including where applicable:
- Medical equipment and consumables.
- Pesticides, fertilizers, and agricultural inputs.
- Veterinary products and supplies.
- Chemical and hazardous materials.
- Communications and surveillance equipment.
- High-risk industrial equipment.
- Products subject to mandatory specifications or inspection.
A sector badge is not granted before category-specific requirements are completed.
Article 9: Product Source
The supplier must prove the lawful source of products upon request through:
- Purchase or supply invoices.
- Certificates of origin.
- Import and clearance documents.
- Agency or distribution contracts.
- Manufacturer certificates.
- Serial numbers.
- Conformity and inspection certificates.
- Any document proving ownership and the right to dispose.
Accreditation may be refused for products of unknown origin or that cannot be verified.
Article 10: Product Standards
Listed products must:
- Have descriptions and images that match the actual product.
- State brand, model, and country of origin.
- Disclose product condition.
- State known material defects.
- Provide operating and safety instructions.
- Be safely stored and transported.
- Include a warranty where required or advertised.
- Comply with statutory specifications and licenses.
Article 11: Used and Refurbished Equipment
Accreditation of used or refurbished equipment suppliers requires:
- Proof of equipment source and ownership.
- Statement of year of manufacture and operating hours, where available.
- An honest description of technical condition.
- Disclosure of repairs and replaced parts.
- Provision of an inspection report upon request.
- Not listing unsafe equipment as fit for operation.
- Clear statement of warranty or disclaimer, within legal limits.
Article 12: Operational Capacity
A supplier may be assessed according to:
- Business premises or warehouse.
- Availability of products and inventory.
- Number and technical capacity of staff.
- Packaging and storage capabilities.
- Ability to fulfill orders.
- Shipping and delivery means.
- Invoicing and record-keeping systems.
- Ability to manage complaints and refunds.
- Readiness of after-sales services.
Article 13: Technical Capacity
For technical products and projects, the Platform may require:
- A qualified technical officer or team.
- Ability to install and commission.
- Provision of training and instructions.
- Availability of periodic and emergency maintenance.
- Availability of spare parts or disclosure of their sources.
- Provision of inspection and testing reports.
- Compliance with health and safety requirements.
- References for prior projects where needed.
Article 14: Warranty and After-Sales Services
To obtain a Trusted Store badge, the following are required:
- Clear publication of warranty terms.
- Definition of warranty duration and scope.
- A clear maintenance channel.
- Compliance with response and handling timelines.
- Provision of spare parts or disclosure of unavailability.
- Performance of due repair or replacement.
- Not using the warranty to exclude liability for material defects.
Article 15: Performance Standards
Store performance is assessed using indicators including:
- Accuracy of product descriptions.
- Order acceptance and fulfillment rate.
- Compliance with preparation and delivery timelines.
- Seller-related cancellation rate.
- Return and non-conformity rate.
- Number of established complaints.
- Speed of response to customers.
- Compliance with refunds and warranty.
- Documented Buyer ratings.
- Cooperation with the Platform in investigations.
Article 16: Scoring System
The following weighting may be adopted:

A “Trusted Store” badge requires:
- A total score of at least 80%.
- Fulfillment of all mandatory requirements.
- No material violation or unsettled serious complaint.
- Completion of the initial assessment period set by the Platform.
Weights may be adjusted according to the nature of the classification.
Article 17: New Stores
A Trusted Store badge is not granted on documents alone if the store lacks a sufficient operating record.
It may be granted “Verified Supplier” status for a trial period, then assessed after completing an appropriate number of transactions or the defined operating period.
Article 18: Visit and Inspection
The Platform or an authorized independent party may:
- Visit the supplier’s premises or warehouses.
- Verify inventory and equipment.
- Review licenses and records.
- Inspect product samples.
- Verify maintenance capabilities.
- Interview technical officers.
- Document findings in an internal report.
Visits are coordinated in advance, except where serious suspicion requires urgent action permitted by law.
Article 19: Accreditation Period and Renewal
Accreditation is valid for a period set by the Platform, not exceeding one year for trusted stores, unless a shorter regime is adopted for certain sectors.
Renewal is subject to:
- Validity of documents and licenses.
- Continued satisfaction of performance standards.
- Settlement of complaints and amounts due.
- Updating ownership and beneficial-owner data.
- Re-inspection where needed.
Article 20: Use of the Trust Badge
The accreditation badge remains Platform property and may be used only for the approved account, period, and classification.
It is prohibited to:
- Use it after expiry or withdrawal.
- Place it on non-accredited products.
- Alter its design or content.
- Use it off-platform without approval.
- Imply that it is a government accreditation or absolute guarantee.
Article 21: Ongoing Monitoring
Verification does not end with the badge grant. The Platform may monitor:
- License validity.
- Changes in ownership or management.
- Order performance.
- Complaints and refunds.
- Product quality.
- Abnormal ratings.
- Shipping and payment data.
- Any fraud or violation indicators.
Updated documents may be requested at any time.
Article 22: Exceptional Review
An exceptional review is conducted upon:
- A complaint relating to safety or fraud.
- Suspicion of product counterfeiting.
- Change in facility ownership or management.
- Expiry of a basic license.
- Rise in cancellations or refunds.
- Repeated failure to honor the warranty.
- A decision by a competent authority.
- A match with an applicable prohibited-party or sanctions list.
Article 23: Suspension of Accreditation
The badge may be temporarily suspended upon:
- Expiry of a document or license.
- An investigation or material complaint.
- Failure to update data.
- Decline in performance indicators.
- Suspicion of a non-compliant product.
- Failure to cooperate with the Platform.
- Unsettled financial obligations or refunds.
Suspension is not a final decision to withdraw accreditation.
Article 24: Withdrawal of Accreditation
Accreditation may be withdrawn upon:
- Submission of forged or misleading documents.
- Listing prohibited or counterfeit products.
- Concealment of the beneficial owner.
- Repeated failure to fulfill orders.
- Deceit or fraud.
- Misuse of Buyer data.
- Serious breach of warranty or safety.
- Loss of legal license.
- Misuse of the trust badge.
- A decision by a competent authority.
The store may be closed or re-registration prohibited according to the seriousness of the violation.
Article 25: Objection
A supplier may object to refusal, suspension, or withdrawal of accreditation within five (5) business days from the date of notice, attaching grounds and supporting documents.
An objection does not stay the decision where user safety or a potential legal violation is involved.
Article 26: Fees
The Platform may charge published fees for:
- Extended verification.
- On-site visits.
- Technical inspection.
- Issuance or renewal of the badge.
- Review of sector documents.
- Additional accreditation services.
Payment of fees does not guarantee accreditation if the standards are not met.
Article 27: Confidentiality and Data Protection
Supplier documents and assessment results are treated as confidential and used only for verification, compliance, operations, and user protection.
They may be disclosed to competent authorities, experts, and service providers to the extent necessary and legally permitted.
Article 28: Supplier Responsibility
The supplier is responsible for:
- Accuracy of its data and documents.
- Lawfulness of its products and services.
- Continued validity of its licenses.
- Notifying the Platform of any material change.
- Product quality and order fulfillment.
- Compensating injured parties for its violations.
Accreditation does not relieve it of any legal or contractual responsibility.
Article 29: Limitation of Platform Liability
The Platform exercises reasonable care in verification and assessment, but does not absolutely guarantee:
- Continued financial solvency of the supplier.
- That all of its products are free from defects.
- Performance of all future obligations.
- Accuracy of any information that could not be independently verified.
- That no dispute will arise with a Buyer.
The trust badge does not affect the Buyer’s right to inspect and verify before contracting.
Article 30: Updating the Standards
The Platform may amend these Standards or the requirements of each classification according to legal, technical, and operational changes.
Urgent requirements are applied immediately if related to safety or compliance, and the supplier is given a reasonable period for other amendments where possible.
Article 31: Governing Law
These Standards are governed by the laws of the Republic of Sudan and decisions of competent regulatory authorities.
For international suppliers and transactions, mandatory laws and restrictions applicable in the relevant countries are observed.
